Welcome to Menu360(“Ecosystem”, “Platform”, “we”, “our”, “us”). This Privacy Policy describes how we collect, store, use, and process your personal and business data when you register, access, or utilize our smart hospitality platform—including our QR Digital Menus, cloud kitchen modules, POS billing systems, guest databases, WhatsApp integration, and business analytics.

By registering or using the Menu360 ecosystem, you agree to the collection and use of information in accordance with this policy. If you are operating on behalf of a restaurant, hotel, or resort, you warrant that you have obtained necessary permissions from your staff, guests, and customers regarding their data.

1Information We Collect

To provide our complete operations platform, we collect several categories of information to ensure operational performance, billing, and seamless service delivery.

A. Merchant Profile Data

Company name, registration licenses, tax numbers (GST/VAT), business address, bank payout details, and email addresses of administrators.

B. Staff & Role Information

Names, contact numbers, log activity data, and custom assigned permissions for managers, waiters, cashiers, kitchen staff, and administrators.

C. Guest Transaction & QR Ordering Data

When guests scan QR menus at tables or rooms, we securely collect phone numbers, name (if submitted), order items, transaction amounts, table numbers, room numbers, and billing preferences.

D. Technical & Analytics Data

IP addresses, device type, operating system versions, scan logs, response timings, and general interaction behavior within the Menu360 control dashboards.

2How We Use Your Data

We process data to run the core hospitality ecosystem, manage orders, and facilitate communication. Specifically, data is utilized to:

  • Facilitate instant QR digital ordering, KDS (Kitchen Display System) routing, and checkout processing.
  • Enable real-time table alerts and express hotel room service notifications.
  • Manage centralized billing, receipt creation, and sales tax reporting inside the POS interface.
  • Power WhatsApp and SMS automation for order updates, loyalty status, and automated customer marketing.
  • Deliver role-based merchant dashboards, showing aggregated profits, daily active orders, and product sales insights.
  • Identify and mitigate service vulnerabilities, fraud, and unauthorized system access.

3Information Sharing & Disclosures

We do not sell, rent, or trade your operational, merchant, or guest data to third-party advertising companies. Data sharing is limited strictly to structural integration needs, including:

  • Payment Gateways: Sharing order totals and payment reference IDs with integrated UPI/Card processors for smooth payment settlement.
  • WhatsApp Gateway Service Providers: Transmitting automated order notifications and loyalty reminders through authorized API channels.
  • Legal Mandates: Disclosing information only when legally requested by national tax boards, state financial audits, or court orders under security compliance.

4Data Security & Cloud Integrity

Data security is a foundational pillar of the Menu360 platform. We employ standard technical protocols to keep your restaurant and customer records shielded:

SSL/TLS Encryption

All communications between the POS, guest QR browsers, kitchen KDS displays, and database servers are fully encrypted in transit.

Role-Based Permissions

Dashboard credentials are restricted. Managers, waiters, and cashiers can only view data necessary for their specific roles.

Please remember that no transmission method over the internet is 100% impenetrable. While we practice strict modern container security and daily automatic backups, we urge you to use highly secure passwords for manager and admin log credentials.

5Your Privacy Rights & Controls

As our partner or customer, you retain control over your business identity. You have the right to:

  • Review, edit, or update your registered bank accounts, profile names, and catalog pricing via the Menu360 settings panel.
  • Deactivate waiter accounts, change login access, or revoke third-party API integrations at any time.
  • Request a secure data export of your past transaction history or guest database for offline analytical purposes.
  • Initiate account termination. Upon written request, we will delete all your active operations databases, subject only to required statutory tax records.
